We are looking for a competent and detail oriented Event Manager who will be responsible for the operations side of all our corporate events. This event manager will support both small-scale and large-scale events for prospects, partners, executives, and customers.
This Event Manager will serve as the company expert in the areas of standard concepts, practices, and procedures within his or her role. They will also be responsible for understanding our target audience and staying abreast of the changing trends within the events industry globally.
This person will have excellent project management, communication and organizational skills. They will understand and keep within budget, adhere to tight deadlines and follow event planning processes used internally. They must be a team player, work well with cross-functional and cross-department teams and understand company goals and objectives.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Responsible for building and managing back-end event registration paths from start to finish
Responsible for building and managing event apps
Responsible for on-arrival printers, scanning devices and lead retrieval.
Monitors and maintains accurate and comprehensive event budget reports and insures working budgets are kept up to date.
Recommends event venues and has in-depth understanding what venues are available in frequented cities.
Negotiates venue contracts for best possible pricing and concessions
Strong understanding of legal venue contract agreement terms
Manages all banquet event order (BEO) building, submission, and approval for all events
Manages all aspects of audio visual and event technology for all events
Manages all equipment used by events team (tradeshow booths, merchandise, printers, devices, projectors etc)
Ensures that proper personnel have been scheduled to adequately work the event.
Understands and manages all aspects of catering, menu selection, F&B guarantees etc.
Manages design and execution of production, dcor, and branding for all event types
Responsible for rooming lists, pick-up reports, attrition management, and travel recommendations
Monitors event working budgets
Is familiar with corporate marketing goals, campaigns, products, and initiatives to properly represent the company at each event
Is responsible for client interaction at events
Is responsible for booking third-party entertainers, decorators, and vendors
Analyzes the events success, and ROI
Has excellent problem-solving and self-management skills
Shows high level of customer services and professionalism
Understands international markets and audiences
Must be excellent project manager.
Must be willing to travel 25-40%
Must have a clear vision on organizations goals and objectives
Must have exceptional tactical execution and organizational skills
Must be available during extended hours
+5 years of Event Management experience
Must have proven ability to build relationships with third-party vendors
Must be able to collaborate with other departments and teams
Must be able to work in a fast-paced environment
Must have excellent written and verbal communication skills
Must be creative, energetic, and innovative
PHYSICAL DEMANDS AND WORKING CONDITIONS
Ability to operate a computer keyboard and mouse at a desk for extended periods.
Ability to communicate effectively via face to face, telephone, email, etc.
Ability to travel on a frequent basis
Ability to set up, take down, and properly store event equipment
Ability to lift heavy freight and boxes for weighing and shipping
Ability to work extended hours when needed
KNOWLEDGE, SKILLS, AND ABILITIES:
Proficient with Microsoft Office Suite (Word, Excel, Outlook, etc.).
Technical aptitude with the ability to quickly learn new software features and applications.
Mastery of planning, coordination, and task prioritization skills.
Is knowledgeable in Cvent, and Salesforce
Trello, Social tables and/or Meeting Matrix, and Kapost are a plus
Hospitality industry experience is a plus
Lifescience experience is a plus
EDUCATION AND TRAINING:
Prior experience managing trade shows and other corporate events.
